How Admissions Offices Can Use Video Throughout the Year

Video is a great way to be unique and stand out amongst other admissions professionals vying for a student’s attention. Here is when and how to utilize video throughout the year.

Thanksgiving - January

During these months where the holidays are in full swing while recruiting, send prospective students and their families a video wishing them a wonderful holiday season and Happy New Year. Adding little personal touches throughout the entire application process helps you stand apart from the other school choices.

Aside from minor recruitment, faculty and staff in admission offices are beginning to review early applications. “If blown away by applicants, I would email them and tell them the essay was amazing,”  said Lynell Engelmyer. This is another excellent example where you could use this opportunity to send them a personalized video that indeed shows how amazed you were. That way, they can then hear the sincerity in your voice and see the expressions on your face. You are adding that human touch!

February - May

The months leading up to the deadline generate excitement and anticipation, which students find heightened by the possibility they will soon be notified of acceptance. What better way to say welcome to our university family than with a personalized video? Personalized video messages from the head of school or other faculty and staff to accepted students can be powerful tools for encouraging positive relationships between the student and their school. This is also when admissions officers are back on the road meeting with accepted students or juniors still in high school. Many are hosting on-campus events to get accepted kids to visit again for special occasions like parties or sports games. Send out a video letting these students know what parties/sports games are happening that week, welcoming them to the campus community. When meeting with students who are still in high school, have them fill out index cards with their names & email address. That way, you can easily stay in touch and send them personalized videos or general announcements to keep them in the loop and cut past the clutter. 

Senior high school students also fill out senior exit surveys. These surveys gain information about their future next steps, asking specific questions about where they are attending college, paying their deposits, etc. Data from these surveys are then used to estimate “Summer Melt” (i.e., i.e., 10-20% of students who have applied to college, been accepted, and made a deposit but don’t show up in the fall to attend). To help avoid this scenario, stay in touch with students all summer long! And according to NCAN, the best way to reach these students is via text. Text students videos throughout the summer reminding them of specific tasks that need to be completed or deadlines that need to be met. Staying top of mind here is key!

May - June

June 1st, all deposits are due! Beginning in May, start sending out video reminders to all students who haven’t sent in their deposits. Make sure they have all the resources they need to accomplish payment. You could send out a reminder video at 30 days, 14 days, ten days, and so on. 

July - August

Now is when lots of high school juniors are spending their summer vacation traveling to visit new college campuses. Utilize personalized video to welcome them to campus, introduce them to their campus tour guide, give them instructions on what to expect at their visit, and then send them a video thanking them for touring the campus and asking if there are any questions they need to be answered.  

September - Mid-Nov

It’s go time! This is the start of the busy season where lots of traveling to and from happens. Utilize video to help you with this season. Send out announcement videos and invites to upcoming fall events, school fairs, and welcome weekends. Also, while visiting high schools and putting on college fairs, have students again fill out those index cards so that you can keep them in the loop and up-to-date with upcoming university/school happenings.
